Guest Rental Agreement
Any payment made to Vacation at its Finest, LLC for the occupancy of a vacation rental property signifies your acceptance of the terms outlined in our vacation rental agreement in its entirety. All policies will be strictly enforced. It is the responsibility of all guests visiting the rental property to be familiar with the rental agreement and the associated policies.
Rental Policies
1. Check-In / Check-Out Time
Check-in begins at 4:00 PM (CST). Check-out time is 10:00 AM (CST). Early arrivals or late departures shall only be allowed based on the properties occupancy and shall include additional costs. Refunds will not be given for late arrivals or early departures. If the check-out time is not met, and prior approval not approved, a half day of rent will be charged.
2. Reservation Deposit and Guidelines
A payment of 50% of the total charges is due at the time of booking. Visa, Mastercard, Discover, personal check or an Ach Bank draft are accepted. No holds can be placed on properties without a deposit.
We accept reservations up to one year in advance. We reserve the right to correct or adjust rates to the published rates at the time of the reservation if they have been misquoted due to human and/or computer error.
3. Payment
The balance of the reservation is due sixty (60) days prior to the arrival date. Visa, Mastercard, Discover, personal check or an Ach Bank draft are accepted. Failure to make the final payment 60 days prior to arrival will result in a cancellation of your stay and forfeiture of your reservation deposit. Vacation at its Finest is charged a bank fee for returned checks or ACH bank drafts. Any returned check or ACH bank draft will result in a $75 fee.
4. Vacation Insurance
Vacation Rental Insurance has been made available with your reservation. Vacation Rental Insurance provides coverage for the loss of prepaid, non-refundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses. Trip Cancellation and Trip Interruption coverage is available for events such as a sickness or injury of yourself, family member or traveling companion; flight delays due to adverse weather; interruptions of road service; terrorist acts; and mandatory evacuations. The plan also includes other valuable coverages such as Medical and Dental, Baggage, and Emergency Assistance and Transportation in addition to useful services such as identity theft, concierge and 24/7/365 emergency assistance. 5. Vacation Rental Damage Protection
As a part of your stay, Vacation Rental Damage Protection was included by Generali Global Assistance & Insurance Services to cover unintentional damages to the rental unit interior that occur during your stay provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of $3,000. Any damages that exceed $3,000 or are not covered under the plan will be charged to the credit card on file. If, during your stay at one of our rental properties, an insured person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000. 6. Cancellation
If you need to change or cancel your reservation, Vacation at its Finest must be notified in writing thirty (30) days in advance of your arrival. If Vacation at its Finest is notified 30 days prior to your arrival, you will receive 100% refund. You will forfeit the full amount of payment if cancellation occurs within twenty-nine (29) days of arrival or less. No refund exceptions will be given for any circumstances.
7. Damage Policy
Guests are responsible for the property, its contents, and themselves during occupancy. Guests must lock windows and doors securely when they are not on the premises. After departure, Vacation at its Finest will inspect the home for damage, missing items, and abnormally dirty appearance. If Vacation at its Finest determines that damage is present, the security deposit will be forfeited. An additional charge may be assessed for damages that exceed the damage waiver that was provided.
When a guest provides notice to Vacation at its Finest prior to check-out of accidental or inadvertent damage to the property, Vacation at its Finest will investigate the damage to determine if the damage appears to have been caused by accidental or inadvertent actions along with the costs of the repairs or replacements. Such determination shall be made in the sole and absolute discretion of Vacation at its Finest provided there is some reasonable basis for making such a determination.
Guest authorizes Vacation at its Finest to charge their credit card or bank ACH on file for damages in excess of $1,500 that are not covered by the damage insurance. If it is determined that damages exceed this amount, the primary guest shall cover all damages caused during their stay and shall cover over legal fees if not resolved and the court finds the primary negligent.
8. Maximum Guests
The maximum number of guests per unit is based on the ability to house our guests comfortably and safely. If the maximum occupancy is exceeded, you could be asked to vacate the property along with forfeiting any rental payments.
9. Minimum Age Requirement
You must be twenty-five (25) years old to rent property from Vacation at its Finest. Any young adult or student must be accompanied by a responsible parent or guardian that stays at the unit the entire reservation. Proof of age or identification may be required from all guests prior to arrival. Guests who violate this policy are subject to immediate eviction and forfeiture of all payments. In accordance with Florida Statute 812.155, reservations made under false pretense are null and void. If under twenty-five (25), Check-in will not be allowed and or guests will be asked to vacate the property. This policy includes reservations made by parents or guardians who do not check-in with young adults or who fail to stay the entire length of the reservation.
*** Spring Break (March / April) ***
For reservations in March or April, it is required that one (1) parent or guardian over the age of 25 be present and staying in the property for every three (3) guests between the ages of 15 and 24. Proof of age is required by all guests and all homes are subject to inspection upon guest arrival to ensure compliance. Violations will result in immediate eviction and forfeiture of all booking charges.
10. No Subletting
Your reservation is not transferrable to any other party. The property may not be sublet. If during the stay, the primary renter must leave due to unforeseen circumstances, they must contact Vacation At Its Finest immediately.
11. Property Selections
Vacation at its Finest will reserve for you the specific unit selected at the time of your reservation upon the receipt of your deposit and acknowledgment of the Guest Rental Agreement. If the property that you’ve selected becomes unavailable for any reason, for example, maintenance, owner usage, or other issues, we will provide a full refund or an opportunity to stay in an equivalently priced accommodation if available. Guests will be limited to a full refund or similar accommodation at their election. In no event will Vacation at its Finest be responsible for any direct or indirect costs, expenses, fees, or other consequential damages resulting from the unavailability of a specific accommodation.
12. Pets
Pets are only allowed in pet-friendly properties and must be approved by Vacation at its Finest before your stay. If a pet is permitted, a non-refundable pet fee of $250 will be charged to the guest. Guests who violate this policy may result in immediate eviction, and forfeiture of payments made, and will incur additional cleaning costs.
13. No Smoking
Smoking/Vaping is not permitted inside any property managed by Vacation at its Finest. Guests who violate this policy will incur the expense of any necessary cleaning. Violations may also result in immediate eviction and forfeiture of rent.
14. Wedding / Events
All weddings or events must be pre-approved in writing by Vacation at its Finest and an event fee will be assessed based on the venue and property. All events must meet County restrictions, Homeowners Association restrictions and follow local noise restrictions. The guests are responsible for any permits necessary for beach weddings. There is a maximum number of people permitted to be on the property for a wedding/event and this number will be established by Vacation at its Finest prior to. An Event Addendum that details the guidelines specific to the property will be required to be signed in addition to this Agreement. Violations may result in immediate eviction and forfeiture of payments made.
15. Housekeeping
Your vacation accommodations will be cleaned to quality standards prior to your arrival and after your departure. Upon arrival, if you find the quality of cleaning is not to your standards, please notify us within 48 hours of your arrival for our team to resolve any issues. You will be responsible for the cleaning of your unit during your stay and for leaving the unit in good condition at check-out. We respectfully request that you remember that you are staying in someone's home during your vacation; please treat it with the care you would your own home. If units are found abnormally dirty at check-out, additional cleaning changes can apply.
16. Departure Condition / Instructions
The normal departure cleaning fee is priced for guests who leave the unit broom clean so that we can focus on sanitizing. Please leave the unit in the same condition as you found it. If our housekeepers have additional cleaning to perform, your security deposit will be forfeited. If you have difficulty keeping a clean house, you may opt to pay to have daily or mid-week cleaning. To avoid additional cleaning charges, leave the house nearly broom clean which is defined as:
a. Wash and store the dishes in cabinets; the last load of dishes is allowed to be running in the dishwasher.
b. Remove garbage from the inside of the house and place bagged trash in the outdoor garbage cans.
c. Organize neat & orderly kitchen items stored in cabinets and all remotes placed back in the room where they belong.
d. Clean any food or spills from the refrigerator, counters, floors, and appliances.
e. Burn off grease & food from the outdoor grill
f. Close and lock all outside doors and windows.
g. Clean off the sand off any provided items such as golf cart, bicycles, beach chairs, beach toys, etc.
17. Maintenance
During your stay, promptly report any maintenance problems to Vacation at its Finest. No refund or rate adjustment will be made for unforeseen failures such as the supply of electricity, water, pool filtration systems, air conditioning, internet, television or cable service, appliances, etc.
I understand that no rate adjustment will be given if items are resolved within 48 hours.
18. Beach Towels
Not all properties provide beach/pool towels, so please be prepared to bring your own. We DO NOT permit bath towels or linens to be taken from the unit except for laundering. If house towels are used, the guest shall pay to have them replaced.
19. Security of Personal Property
We are not responsible for any acts of theft or vandalism, or other damages to any personal property or for personal items left by guest in the accommodation at departure.
20. Hurricanes and Severe Weather
Guests may be entitled to a refund or partial refund if a governing office issues a “Mandatory Evacuation” order for the location of your rental property.
Refunds will not be issued for shortened stays due to anticipated hurricanes, tropical storms or other inclement weather. If you are renting during storm season, we encourage you to take out travel insurance.
21. Pandemic(s)
Refunds for Pandemics that may render the unit or travel unavailable will not be issued by Vacation at its Finest under any circumstances.
22. Bike, Golf Cart and Pool Liability
By signing the Agreement electronically, guests who rent units that provide private swimming pools, complimentary Golf Carts, and/or bikes further agree to the express terms, conditions, and waivers set forth in the following attachments: Bike Waiver & Damage Addendum, Golf Cart Waiver & Damage Addendum and Pool Use Liability & Damage Addendum.
23. Ring Doorbell
This is an acknowledgment that the home may have a Ring Doorbell located by the front door, aimed toward the street or hallway/walkway. This motion-activated camera provides live and recorded video 24/7 for up to 60 days.
24. Internet/WI-FI: Please be advised that while we do offer free Wi-Fi, service in the area can be spotty regardless of provider. We cannot guarantee the reliability or connectivity of internet service. Should you require stable internet service for work or pleasure; please bring an ethernet cord to plug into the router or bring access to a hotspot with you. No refunds for any interruption in Wi-Fi service during your stay, NO exceptions. Vacation At Its Finest provides limited tech support.
